You can add participants automatically as your Zoho CRM contacts and populate the contact custom fields using the native Zoho CRM integration.

Connecting the Integration

You can connect the integration either by navigating to the "Integrations" tab in the navbar or by opening the dropdown menu of your project's card and selecting "Connect" - then just click "Connect" on Zoho CRM's card.

If you're not currently logged into your Zoho account, you'll be prompted to do so. Once you're logged in, you will be asked to grant permission for involve.me to connect to your Zoho account.

After granting access, you'll be able to see the name and email address of the Zoho account that you're using.

Data Mapping for the Zoho CRM Integration

The integration will send email and default personal data fields automatically.
For your list to accept more data, please add "Custom fields" on Zoho CRM accordingly beforehand.

Once the integration has been connected to your project, you'll find the button "Manage Custom Fields" on the project's integration settings, which is where you can map the involve.me fields to the integration fields.

*This is the result of the first calculator in the project, if there's only one calculator you can use this field.

**If you have multiple calculators in your project you can specify them by ID.

Data From Question Elements

Any other collected data fields (eg. from multiple choice elements, free text inputs, sliders, opt-in checkboxes, etc,) can be mapped through "custom field mapping".

Tags

involve.me submissions can not only create custom fields but also assign tags in Zoho CRM automatically.

In your project’s integrations setup under the “Manage Tags & Custom Fields” button, you can turn on tags for different kinds of submission data:

  • Outcomes

  • Project name

  • Answers from questions

  • When an opt-in checkbox was ticked

Tags will allow you to trigger different actions in your Zoho CRM account or help you organize incoming data. Please be aware that in order to have tags set you do not need to also setup custom fields, they can be used independently.

Good to Know

  • Custom fields are not available in the Free edition of Zoho CRM.

  • It is not possible to add more than 10 tags to a record, please keep this in mind when enabling tags for Multiple Choice answers.

  • The integration can create either contacts or leads - you can choose which one you want on Zoho CRM's integration settings section.

  • Last name is required: Currently Zoho CRM requires you to send "Last name" so you need to ensure that you have this field included in your Contact Form.

  • Make sure you choose the right field names & types for your integration.

  • If you have configured a Zoho CRM integration on the project level and you duplicate the project, your integration settings will duplicate as well.

  • When the same email is sent again it will update the existing contact with the new data.

Opt-in Checkbox and GDPR

In order to be fully GDPR compliant, you will need to tick the option "Only trigger integration when opt-in checkbox element was selected" on your integration's settings and add a dedicated opt-in checkbox that sends data over to the integration, from your involve.me project.

Here's a step-by-step guide on how to set it up.

If GDPR is of no concern to you, then you can skip this step.

Testing Your Integration

Once the integration has been set up and connected to your project, it will be time to test it in order to ensure everything is working as intended, learn how to do it here.
