The Manage Contacts page holds every contact collected across your involve.me organization in one place. From here you can search, filter, tag, customize your view, open a full contact profile, and save any filtered view as a segment that keeps itself up to date. This article covers how contacts, filters, and segments work together.
The Contacts page
Open Contacts from the top navigation to reach Manage Contacts. The Contacts page is only visible to workspace owners and organization admins.
A contact is created whenever a completed submission contains a valid email in any personal data field. This is usually a Contact Form, but the email can also come from a hidden field that passes it into the submission. Two conditions apply: the funnel must be live (drafts never create contacts), and contact creation can be disabled per funnel. If the same person submits again, their existing contact is updated with the new submission and funnel count rather than duplicated.
The table shows each contact with columns for email, first name, last name, phone, submissions, funnels, tags, and opt-in status. You can:
Search by email or name.
Add tags inline with + add tag, or remove a tag with the × on the tag.
Select multiple contacts to run a bulk action. There are exactly three: Tag contacts, Untag contacts, and Delete contacts.
Switch between all contacts and your saved segments using the view dropdown at the top left.
Importing contacts
To add contacts without a funnel submission, click Actions and select Import. You can upload a CSV or TXT file up to 3MB and map each column to a contact property, or copy and paste up to 1000 email addresses directly.
You can apply a single tag to everyone in the import, and you confirm consent to contact them with a checkbox before the import runs.
Customizing your columns
Click the columns icon to open Customize columns. Tick the fields you want visible and drag the handles to reorder them. Available columns include Email, First name, Last name, Phone, Mobile, Company, Address, City, State, Postcode, Country, and Submissions. Click Reset to defaults to go back to the standard layout.
Filtering contacts
Click Filter to build advanced searches and narrow your list. Add one or more filters from these types:
Funnel submissions: contacts who completed a specific funnel.
Has tag: contacts with one or more specific tags.
Contact Property: filter by the value of any native or custom contact property, for example lead stage, country, or a custom field.
Email engagement: contacts who opened or clicked a specific workflow email.
Contact created: filter by when the contact was first added.
Contact updated: filter by when the contact record was last updated.
Stack multiple filters and use the selector between them to control how they combine: AND returns contacts matching every condition, OR returns contacts matching any condition.
Filter groups. For more advanced logic, combine whole groups of filters. Click Add filter and choose Filter group. Filters inside a group combine with AND or OR, and the groups themselves combine with AND or OR, so you can mix operators in one view.
For example: (Submitted: B2B Lead Magnet AND Contact created after 2026-08-01) OR (Submitted: Car Loan Calculator AND Opened: feedback email).
Managing contact properties
Contact properties store data on each contact beyond the built-in fields. To create and manage them, click Actions and select Manage properties. You can create up to 100 custom properties per organization. Each property has a name and one of four types: text, number, boolean, or date.
The Manage properties view also shows which funnels map data into each property, so you can see where a property's values come from.
Creating a segment
A segment is a live group of contacts. Instead of a one-time filtered result, it keeps updating on its own: contacts enter as they start matching the conditions and leave as they stop.
There are three ways to reach the segment builder: build a filter and click Save as segment in the filter panel; open the view dropdown at the top left (it reads All contacts by default) and click + Create new segment; or click Actions and select Manage segments. Set the conditions, give the segment a clear name, and save it. The builder shows how many contacts currently match.
Your saved segments then appear in that same dropdown, so you can switch between All contacts and any segment without rebuilding the filters each time. When you open a segment you see the contacts that match its conditions right now, and because segments are dynamic that list changes over time.
Using contact properties in segments
Contact properties group contacts by information saved on their profile, such as name or company, plus any custom properties you create. Common examples are lead stage, interest, score category, or customer type.
This is especially powerful when properties update automatically through workflows or integrations. As soon as a property changes, the contact enters or leaves the matching segment.
For example, a segment where Contact property: Lead stage / Condition: is / Value: Qualified always holds every contact currently marked Qualified, and drops each one the moment their lead stage changes.
Using segments in workflows
Segments can trigger email automation. In Email Automation, two triggers respond to segment membership:
Entered segment: starts a workflow as soon as a contact matches a segment's conditions.
Exited segment: starts a workflow when a contact no longer matches.
For example, with a Qualified Leads segment you can trigger a workflow the moment a contact enters it, then send a follow-up email, update a property, add a tag, or notify your team. To set this up: go to Workflows, create a new workflow, choose Entered segment or Exited segment as the trigger, select the segment, and add the actions you want to run.
Warning: Deleting a segment pauses any workflow triggered by it.
The contact profile
Click any contact to open its full profile. It has three parts:
Personal Data groups the contact's fields into Contact (first name, last name, email, phone, mobile, organization name), Address (street, zip code, city, state, country), Socials (website, Facebook, Twitter, Instagram, LinkedIn), and Other.
Timeline shows the contact's full activity history: funnels started and completed (with outcomes), workflow emails sent and whether they were opened, and integration events such as data sent to Google Sheets. Links let you open the funnel, view the submission, or view the workflow.
Right panel holds Custom Properties, Tags, Segments (which segments this contact is currently in), and Metrics: funnel submissions, funnel participations, opt-in status, and last seen.
From the Actions menu on the profile you can Opt-out the contact or Delete contact. Opting out is permanent: opted in simply means the contact has never unsubscribed, as there is no double opt-in. Once a contact opts out, from the dashboard or an email unsubscribe link, this cannot be undone in the UI.
Managing tags
Create and remove tags from the Contacts page via Actions, then Manage tags. In the dialog:
Under Create tag, enter a name and click Create to add a new tag.
The Tags list shows every existing tag with how many contacts each one has.
Click the trash icon next to a tag to remove it.
Removing a tag deletes it from every contact it is applied to. It does not delete the contacts themselves. Click Done to close the dialog.
