Email Automations help you build multi-step workflows that run automatically when someone completes a funnel or makes a payment. You can use them to create personalized journeys such as:

  • Welcome emails sent right after sign-up or quiz completion.

  • Follow-up messages sent after a delay with a special offer or next step.

  • Drip campaigns that nurture leads over time.

  • Branched journeys based on answers, scores, outcomes, or other participant data.

Email Automations vs. Follow-up Emails

involve.me gives you two ways to send emails after a submission: Follow-up Emails and Email Automations.

Both can be active on the same funnel at the same time, and they work alongside each other without conflict.

ℹ️ If you only need one immediate email after a submission, such as a quiz result or payment confirmation, Follow-up Emails are the simplest option.

Use Email Automation when you want to create a journey with multiple steps, delays, or branching logic.

Triggers: How a workflow starts

Every workflow begins with a trigger. The trigger is the event that starts the automation for a participant.

When creating a workflow, you choose the trigger and select the specific funnel connected to it.

Completed Submission

The workflow starts when a participant completes the funnel (not on partial submissions). This is the most common trigger.

Payment Completed

The workflow starts after a successful payment.

This trigger is useful for post-purchase sequences.

Contact Created

The workflow starts when a new contact is created or imported. You can add an optional condition to target contacts created from revealed partial submissions. Note: Funnel data such as answers and scores is not available with this trigger.

Entered Segment

The workflow starts when a contact enters a segment, meaning they start matching the segment's filters. Choose the segment when setting up the trigger. Note: funnel data such as answers and scores is not available with this trigger.

Exited Segment

The workflow starts when a contact leaves a segment, meaning they stop matching the segment's filters. Choose the segment when setting up the trigger. Note: funnel data such as answers and scores is not available with this trigger.

Follow up with contacts from partial submissions

To target contacts captured through partial submissions, select Contact Created as the trigger. Under Condition, choose Created from partial submission as the property, set the operator to Is, and select true.


This lets you send a follow-up sequence to people who provided their contact information but left the funnel before completing it.

The workflow starts only after a partial submission containing contact information is revealed. It does not start as soon as the participant leaves the funnel. Revealing partial submissions is available on the Scale plan.

Before contacting these participants, make sure you have the consent required by the privacy laws and regulations that apply to you.

Each time the trigger condition is met, a new workflow execution starts for that participant.

⚠️ If the funnel connected to a workflow trigger is deleted, the workflow automatically pauses and shows a warning state. Edit the workflow to select a different funnel as the trigger, or delete the workflow.

ℹ️ Archived funnels, and funnels with contact creation turned off, appear greyed out in the funnel picker with a hint, and can't be selected as a trigger. This applies in Create workflow with AI too.

Available actions

After selecting the trigger, you can build your workflow by adding actions to the canvas.

Click the + button between steps to add a new action.

Send Email — Send a personalized email to the participant.

You can customize the subject, write the email body, and add attachments. Type "/" in the editor to insert blocks such as headings, images, buttons, tables, emoji, and more.

You can also personalize the email with variables by using "@".

Each Send Email step has a "Send from" dropdown, so you can choose which SMTP sender that email goes out from. This lets a single workflow send emails from different sender identities, for example one sender per client. Connect your own email via SMTP to add senders to the dropdown.

Invite to Funnel — Send an invitation to complete another funnel.

This is useful for connected experiences, such as sending a feedback survey after a purchase.

Update Contact — Set, update, or delete any contact property with details from a funnel or the workflow context.

Add Contact Tag — Add one or more tags to the contact as they move through the workflow.

Use tags to segment contacts by the path they took, then branch on those tags in Conditional Logic or start other workflows from them.

Remove Contact Tag — Remove one or more tags from the contact.

Use this to keep segments clean, for example removing a "lead" tag once the contact converts.

Send Internal Email — Send a notification to your own or other internal team addresses when a participant reaches this step. Add up to 5 recipients, customize the subject and body, and set the sender name and reply-to address. Type "@" to insert variables such as the funnel name or an answer. On plans below Scale you can send to team members in your account. On Scale you can also enter any custom email address.

Wait Time — Pause the workflow before the next step. You can choose from three wait options:

  • Wait for a set duration — Pause for a number of hours or days. Useful for spacing out emails in drip campaigns.

  • Wait until a specific date and time — The workflow resumes at the exact date and time you set (based on your account timezone). Useful for time-sensitive campaigns or launches.

  • Wait until another funnel is completed — The workflow pauses until the contact completes a specific funnel. Set a timeout in days; if the funnel is not completed in time, the workflow stops. Useful for multi-step journeys where you need the contact to finish a second interaction before continuing.

Conditional Logic — Split the workflow into different paths based on participant data, including answers, scores, outcomes, email engagement such as opened or clicked, or any other field.

A/B Test — Split participants randomly between two or more paths to test different email content or timing.

Exit — End the workflow at a specific point. This is useful after conditional branches when participants no longer match your criteria.

Duplicate an action : To reuse a step you already set up, open any action and click Duplicate. This creates a copy of that action directly below it in the workflow, keeping all its settings, so you can adjust the copy instead of building it again from scratch.

Duplicate is available on action steps such as Send Email, Wait Time, Update Contact, and the tag actions. It is not available on the trigger or on the Conditional Logic action.

How to create a workflow

Step 1: In the main navigation, click Email Automation.

Step 2: Click " Create workflow" in the top right and choose how to start:

  • Create with AI: Describe the email sequence you want and get a ready-to-edit draft. Pick the trigger and funnel, type what the sequence should do (for example, "a welcome email right away, then a follow-up two days later inviting them to book a call"), and click Generate my workflow. The AI builds the steps, emails, wait times, and branching for you to edit.

  • Browse templates: Start from a ready-made workflow.

  • Start from scratch: Build the workflow yourself, step by step.

Step 3: Choose a trigger: Completed Submission, Payment Completed, Contact Created, Entered Segment, or Exited Segment, and select the funnel or segment if applicable.(If you started with AI or a template, the trigger comes pre-filled and you can adjust it.)

Step 4: Click the + button to add actions and build your workflow.

Step 5: Configure each action. Write your email content, set wait durations, and define conditions.

Step 6: Save and activate the workflow.

Branching with Conditional Logic

The Conditional Logic action lets you split the workflow into different paths.

You can branch on any contact property, native or custom, alongside participant answers, scores, outcomes, email engagement (opened, clicked), contact tags, trigger data, and workflow variables.

You can also branch on Opt-in Status, whether the contact has opted in to your emails (true) or not (false). Use it to send promotional sequences only to opted-in contacts, and route everyone else to a different path or to Exit.

You can also branch on Segment, a true/false check on whether the contact still matches a segment at that point in the workflow. Use it to re-check membership mid-sequence: if someone no longer fits the segment because their details changed, route them to a different path, or to Exit to stop emailing them.


The variable picker groups options by source: Contact Information, Participant Data, Trigger Data, Email Conditions, Workflow Variables, Organization, Previous Workflow Nodes, Hidden Fields, and Other Variables.

When the variable you branch on is a number, such as a score or a calculator value, the condition value accepts numbers only. Ambiguous entries like "45-55" are blocked, because a range typed as text does not match reliably. To match a range, add two conditions, for example Score is greater than or equal to 45 and Score is less than or equal to 55.



Personalizing emails with variables

When adding a Send Email action, you can personalize both the subject line and the email body with data from the submission.

The recipient is always the contact collected in the funnel.

To insert a variable, type "@" or click the + icon to open the variable picker.

Available variables include contact form fields, question answers, outcome name, funnel name, hidden fields, and any custom fields from your funnel.

Could not display content

The variable picker shows only variables that are relevant to each email.

Set a fallback for empty variables. When you insert a variable, you can add a fallback value that is used if the variable is empty for a contact. For example, Hi {{first_name | there}} sends "Hi there" when no first name was collected, so your emails never open with a blank space. To add a fallback, click the inserted variable and type the fallback text in the "Fallback if variable is empty" field, then confirm.

Email settings: SMTP, watermark, and attachments

Sent from

no-reply@involveme.com by default. You can connect your own SMTP sender to send from your own domain — this also improves deliverability.

Watermark

The involve.me footer can be removed on Grow plan or higher.
Go to your account menu → SettingsEmail Options → toggle on "Remove email watermark"

Opt-out link

The unsubscribe link at the bottom of the email cannot be removed, regardless of plan.

Once someone opts out, they will not receive further emails from any of your workflows.

Images

Images added to the email body support width sizing.

You can choose 25%, 50%, 75%, 100%, or a custom pixel width.

Images can also be made clickable with a URL, including variables such as {{project.name}}.

Click any image in the editor to adjust its size, alignment, and link.

Attachments

Use the paperclip icon to attach files.

Other files, such as PDFs, appear as a download link in the email.

Tracking

Workflow emails automatically track opens and clicks. Follow-up emails also track opens and clicks when your own SMTP sender is configured.

Preview

Click "Send Preview Email" to test how the email looks. Variables are not substituted in preview — complete a real test submission to see the full email.

Monitoring workflow executions

The Email Automation dashboard shows all your workflows and their status, including Draft, Active, Completed, and Failed counts.

To reuse a workflow you already built, open the dropdown on its row and click Duplicate. This copies the whole workflow, its trigger and every step, as a new Draft you can adjust and activate when readso nowy.


The workflow canvas displays open and click rates directly on each Send Email node, so you can review engagement at a glance.

Workflow emails also appear on the Contact Timeline. This lets you see when a workflow email was sent, opened, or clicked alongside follow-up emails and other contact activity.

To inspect a specific workflow, go to Email Automation, find your workflow, and click "View executions."

Each execution shows one of three statuses:

Completed

All steps ran successfully

Active

Currently in progress — waiting at a Wait step or condition

Failed

Something needs attention. Check the error details to update your setup.

Canceling an execution

To retest a workflow with the same contact email, you can manually exit an execution that's still active (for example, waiting at a Wait step). Open the execution from the submission or from View executions, then remove the contact. The execution is marked as Failed and can't be undone. After it exits, the same email can trigger the workflow again.

Best practices

Start simple. Begin with one or two steps before building more complex flows.

Use clear conditions. Branch on outcome names, scores, or funnel names instead of ambiguous free-text values.

Always test with real submissions. Do not rely only on preview. Complete a test submission and check View Executions.

Respect opt-outs. Once someone unsubscribes, they will not receive further emails from any workflow.

Space out your emails. Use Wait steps to give participants time between messages.

Use clear conditions. Branch on outcome names, scores, or funnel names instead of ambiguous free-text values.

Troubleshooting

Trigger funnel was deleted

The workflow has automatically paused and shows a warning state. Edit the workflow to select a different funnel as the trigger, or delete the workflow.

Workflow not starting

Make sure the workflow is set to Active and the trigger matches the correct funnel.

Emails not arriving

Check spam/junk folders. Setting up your own SMTP sender significantly improves deliverability.

Execution shows "Failed"

Open View Executions for error details. Common causes: missing email, bounced, or participant opted out.

Conditions not working

Check field names and values — they are case-sensitive. Test with a known submission.

⚠️ Accounts with high bounce or complaint rates may have their email capabilities temporarily and automatically limited or suspended. To support strong deliverability, keep your recipient lists clean and remove invalid email addresses.
