When navigating to the menu tab Contacts you'll be able to see all email contacts across your entire involve.me organization in one place.
Note: The Contacts page is only visible to workspace owners and organization admins.
This article covers how contacts are created and how you manage them. To filter contacts and save segments, see Segments and Filters. For a detailed view of a single contact, see Contact Details Card.
How contacts are created
A contact is created whenever a completed submission contains a valid email in any personal data field. This is usually a Contact Form, but the email can also come from a hidden field that passes it into the submission. Two conditions apply:
The funnel must be live. Drafts never create contacts.
Contact creation can be disabled per funnel, so a live funnel will not add contacts if you have turned this off for it.
If the same person submits again and the contact already exists, the entry is updated with a new submission and funnel count rather than duplicated, so each person appears once.
Working with your contacts list
Every contact appears as a row, with their details shown as columns. The default columns are email, first name, last name, phone, submissions, funnels, tags, and opt-in status.
From here you can:
Search for a contact by email address or name.
Tag a single contact with + add tag, or remove a tag by clicking the × on it.
Select several contacts to run a bulk action on all of them at once.
Open a contact by clicking their email address. This opens their full profile, where you can Opt-out the contact or Delete contact.
Switch views between all contacts and your saved segments using the dropdown at the top left.
Each contact record also shows the number of submissions across all funnels in your organization, the number of funnels the contact has participated in, their opt-in status, the date the contact was first created, and the date they were last seen participating in a funnel.
Opt-out is permanent. Opted in simply means the contact has never unsubscribed, as there is no double opt-in. Once a contact opts out, either from your dashboard or through an email unsubscribe link, this cannot be undone in the UI.
Customizing your columns
Click the columns icon at the top right of the list to open Customize columns. Tick the fields you want visible and drag the handles to reorder them. Available columns include Email, First name, Last name, Phone, Mobile, Company, Address, City, State, Postcode, Country, and Submissions. Click Reset to defaults to return to the standard layout.
Importing contacts
To add contacts without a funnel submission, click Actions and select Import. You have two options:
Upload a file: a CSV or TXT file up to 3MB. You then map each column in the file to a contact property.
Copy and paste: paste up to 1000 email addresses directly.
You can apply a single tag to everything in the import, and you confirm consent to contact these people with a checkbox before the import runs.
Bulk actions
Select two or more contacts to act on all of them at once. There are exactly three bulk actions:
Tag contacts: add one or more tags to every selected contact.
Untag contacts: remove one or more tags from every selected contact.
Delete contacts: remove every selected contact from your organization.
Managing contact tags
You can create and remove contact tags directly from the Contacts page.
To manage your tags:
Go to Contacts
Click Actions
Select Manage tags
In the Manage tags modal, you can:
Create a new tag by entering a tag name and clicking Create
See all existing tags
Check how many contacts are assigned to each tag
Remove tags you no longer need
Important: Removing a tag deletes it from every contact it is applied to. It does not delete the contacts themselves.
Contact data from submissions
Contacts are automatically enriched with personal data collected through Contact Form fields in your funnels. When a participant submits a funnel that includes a Contact Form, the following native fields are saved directly to their contact record:
First name and last name
Phone number
Street address, city, zip code, state, and country
This also applies retroactively. Contacts from earlier submissions have been backfilled with any available data for these native fields.
Note on phone numbers: A phone number is only saved to the contact record if it is in a fully valid international format, including the country prefix (e.g. +1, +43, +44). Phone numbers without a country prefix will not be stored on the contact.
Custom contact properties
You can define custom properties to store additional data on your contacts beyond the built-in fields. To manage them, click the Actions dropdown at the top of the Contacts page and select Manage properties.
Here you can create up to 100 custom properties per organization. Each property has a name and one of four types: text, number, boolean, or date. The Manage properties view also shows which funnels map data into each property, so you can see where a property's values come from. Keep in mind that the type and key of a property are immutable once created. They cannot be changed later, so choose carefully.
Custom properties will appear on the Contact Details Card alongside the native contact fields, and you can filter and build segments on them in Segments and Filters.
