Switching From Zapier Key Connections to New Connections

In January 2025 We Will Phase Out “Zapier Connection Keys”, Learn How to Make the Switch to New Connections Before the Change

On January 21st 2025 we will sunset Zapier connection keys in involve.me and only support the new connection method, which authenticates involve.me via a login to Zapier and allows you to pick a project when setting up your zaps.

Not only is the new method faster and more reliable, but it also allows similar data sync times as all other integrations we offer (1-2 minutes max). Previously the sync time depended on your Zapier plan, and 5 minutes was the fastest sync interval.

How to Switch to the New Connection Method

When opening any of your Zaps that use the old connection method, this is how it will look like, with the version number 1.1.3 will be shown inside brackets.

⚠️ It is recommended that you a save a screenshot of your Zap setup before making any changes just in case you need to refer to it at a later point, especially if you have a more elaborate setup.

Start by editing your zap, you'll then see this warning box on the right side, where you'll need to click "Update".

Once you have updated the app to the newest version (just click the "Update" button and then confirm the update), you'll need to choose the Trigger Event again. Pick the same trigger name you had before: "New Completed Submission" (you can already see this is an "Instant" trigger now).

If you have not yet connected via the new method on any other of your projects since April 2024, then you'll need to connect your involve.me account and confirm that you want to allow Zapier to access it. Bear in mind that the connection process can take a few seconds after you have clicked on "Authorize".

On the other hand, if you have created a new project and used Zapier on it after April 2024, then this step was already done and you can disregard this part. You might have to select your account from the list, but that will be about it.

After this, you'll need to make sure your project available for the new connection.

You can do this by navigating to the "Connect" page of your project and deleting the Zapier legacy connection key, like in the example below.

Once the old connection is deleted on involve.me, you can go back to editing up your Zap on Zapier, and select the same project you had connected before (projects are sorted by last modified).

ℹ️ Make sure that you have deleted the old Zapier connection on your project, otherwise said project will never show on the dropdown list.

Once you have tested the trigger and confirmed it is working, move onto the next step of your Zap.

On this next step, you'll need to replace the old variables in your Zap field setup, with the new ones. The old variables will be marked with a yellow border, you just need to simply delete them and add the new ones in via the plus (+) symbol.

ℹ️ If you're struggling to find certain variables, then it might be because some of them had their name changed - for example "Organization" is now called "Company". Read through the list of variables carefully and you should find all of them.

Once you've tested and published your zap you should get a message saying that the Zap is using version v2, and the connection will also appear on the "Connect" page of your involve.me project as well.

How to Find Your Old Connections and Zaps

Within Zapier it is possible for you to look up your old connections and Zaps that are still being used. If you head over to "Apps" on your left side and then pick the option "Other Apps". There you will find the old version of the involve.me app (1.1.3) which is the one that uses key connections we're sunsetting.

Open it up to go through the list of connections and Zaps that you have. If you have a considerable amount of Zaps, then this should help you find out which ones are being used and if need to be updated to the new connection.

Within involve.me go to your Zapier connection overview page and we'll list all projects in your account where there is a legacy key active (this does not mean you have a Zap setup on the side of Zapier that is actively checking). You're done once there are no more projects in the yellow colored list.
